JOB TITLE: NURSING STAFFING SCHEDULER

Role Summary: We are seeking two dedicated and highly organized Nursing Staffing Schedulers to join a dynamic and supportive team. In this role, you will be responsible for coordinating staffing schedules for nursing units, ensuring that all shifts are appropriately filled with qualified staff. You will play a key role in managing daily operations and assisting with staffing needs, while maintaining accuracy in scheduling and providing excellent customer service. REQUIRED QUALIFICATIONS:

  • High school diploma or G.E.D. equivalent required.
  • At least one year of experience in scheduling, administrative support, or staffing within a healthcare setting.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic computer data entry skills.
  • Solid understanding of nursing positions and basic staffing patterns in healthcare environments.
  • Experience with automated staffing and scheduling software is preferred.
  • Ability to thrive in a fast-paced environment while meeting deadlines and managing multiple tasks.
  • Excellent organizational skills and strong attention to detail.
  • Exceptional customer service and interpersonal communication skills.
  • Ability to work effectively both independently and as part of a team.

DESIRED QUALIFICATIONS:

  • One or more years of experience with UKG or other scheduling systems.
  • Experience in hospital staffing, scheduling, and calendaring, particularly with float pool staff.
  • Knowledge of or experience with Einstein scheduling systems is a plus.
  • Ability to analyze staffing data and develop new reporting structures as needed.
Responsibilities
  • Monitor staffing needs on a shift-by-shift basis and coordinate with central staffing RNs to ensure all staffing requirements are met.
  • Manage all aspects of the scheduling system, ensuring accurate and up-to-date records of schedule changes and staffing adjustments.
  • Assign professional and support staff to nursing units based on established staffing models and operational needs.
  • Notify appropriate personnel of any staffing issues and work with the team to make necessary adjustments to the schedule.
  • Record call-ins, overtime worked, and other changes in the electronic scheduling system to ensure accurate hours are tracked and distributed.
  • Secure replacement staff for absent employees by reassigning personnel or utilizing SRP personnel as needed.
  • Maintain accurate records, logs, and files related to staffing activities, and prepare both routine and special reports.
  • Handle general administrative duties within the staffing office, including answering phones, assisting with shift coverage, and relaying messages.
  • Prepare and analyze statistical reports, ensuring timely and accurate distribution.
  • Print and maintain staffing worksheets for team review.
  • Provide new employees with information on hospital and department policies and procedures.
  • Attend required meetings, training sessions, and in-services to stay current with departmental needs.
  • Assist with maintaining accurate personnel data in the electronic database.
  • Monitor and provide budget-related information for managerial review as needed.
