JOB OVERVIEW

To support the O&M Team in organising workload and working cooperatively with other parts of Mitie.

Responsibilities
  • Documentation creation, control and review (including engineer schedule, RAMS, POs, quotes and other, as required)
  • Tracking progress of works and timeframes of completion of remedial works
  • Internal communication with the O&M Manager, Operations Team, Procurement Team and Senior Engineers on site
  • Wider communication with other Mitie teams where work is outsourced (i.e. landscaping teams, engineering teams)
  • External communication with suppliers (materials required on site, MEWP hire, subcontractor hire, H&S systems incl. Avetta)
  • Weekly report on work undertaken and planned in relation to the overall queue of works, incl. highlighting concerns
  • Weekly briefing with engineers during the team meetings, answering any additional questions regarding the works
  • Providing remote support for engineering teams on site, adjusting to the changing conditions (weather impact, lifter issues, client issues, etc)
  • Highlighting new client requirements to the team management and implementing new ways of working as necessary (i.e. changes to H&S policies)
  • Work closely with the data analyst and asset manager to identify required remedial works for contracted assets
  • Work closely with the asset manager to support liaison with Operations where a warranty remedial is required (especially relating to sites with LDs)
  • Highlighting any unusual issues and considerate problems to the team management for consideration in the future
  • Organise meetings and actively participate in already established regular meetings, providing detailed information on current works
  • Ensuring tracking systems are reflecting current state of works
  • Monitoring the maintenance inbox, distributing tasks to the relevant team members, allowing queries to be redirected from individual manager inboxes
  • Attending client meetings and providing information in a professional manner
  • Handling queries from other departments in line with set up processes and SOPs
  • Independently breaking down bigger works into steps and managing the organisation of the individual steps, with technical support from management where needed
