Reporting to Director, OHS- The Occupational Health & Safety Administrator provides critical administrative support to the Occupational Health and Safety team, centralizing and standardizing compliance-related documentation and reporting processes. This role enables field-focused OHS leaders to dedicate more time to coaching, site visits, and issue resolution. The position ensures accurate and timely submission of incident reports, legal file maintenance, contractor compliance tracking, and audit readiness across all jurisdictions.

WHAT WE NEED FROM YOU:

  • Minimum 2 years of experience in an administrative, compliance, or safety support role.
  • Strong organizational and data management skills.
  • Experience using Microsoft Office and Google Workspace products and document management platforms.
  • Proficiency in contractor management software (e.g., ISNetworld, Avetta, ComplyWorks).
  • Knowledge of WorkSafeBC regulations and reporting systems is preferred.
  • Familiarity with Salus or similar safety management software is preferred.
  • Occupational Health and Safety education or certificate is an asset.

Contractor Prequalification & Verification:

  • Manage contractor compliance systems (ISNetworld, Avetta, ComplyWorks).
  • Track renewal deadlines and follow up on incomplete submissions
Responsibilities

Administrative Support & File Management:

  • Maintain accurate, up-to-date safety records and ensure version control and file naming compliance.
  • Clean up legacy files and ensure documentation is audit-ready.
  • Coordinate PPE orders, remote crew kit preparation, and other logistical tasks.
  • Send out Toolbox Talks and Safety Alerts on a regular basis to ensure timely
  • distribution of key safety information across the organization.
  • Maintain our Monday boards for WSBC Inspection Reports and EIIRs

Contractor Prequalification & Verification:

  • Manage contractor compliance systems (ISNetworld, Avetta, ComplyWorks).
  • Track renewal deadlines and follow up on incomplete submissions.

Incident Reporting & Data Management:

  • Submit Employer Incident Investigation Reports (EIIRs) to WorkSafeBC accurately and on time.
  • Liaise with OHS Advisors and WorkSafeBC to validate and follow up on incident data.
  • Assist with Salus data entry and action item tracking and review of all forms within Salus

Legal File Administration:

  • Maintain both digital and physical case files for legal or regulatory proceedings.
  • Track document timelines and coordinate with legal counsel on case updates.

Audit and Training Support:

  • Update stats for all safety committee meetings (Ops Meetings, JOHS Committee, Monthly Stats packages across the organization).
  • Assist in organizing training for OHS team members and tracking certification.
