Description

We are currently seeking a highly organized and proactive Office Secretary/Executive Assistant to provide comprehensive administrative support to our management team.

Responsibilities:

  • Coordinate and manage the day-to-day administrative tasks for the management team, including scheduling meetings, organizing calendars, and making travel arrangements.
  • Proactively follow up on action items, deadlines, and deliverables to ensure timely completion and efficient workflow.
  • Handle incoming and outgoing calls, emails, and other forms of correspondence promptly and professionally.
  • Prepare and send well-crafted emails and other written communications to clients, ensuring clear and concise messaging.
  • Assist in the preparation and distribution of documents, reports, and presentations for meetings or client presentations.
  • Collaborate closely with internal departments to gather and provide necessary information for client inquiries and requests.
  • Manage and update client databases, ensuring accuracy and completeness of client information.
  • Provide general administrative support, such as filing documents, organizing office supplies, and maintaining office equipment.

Requirements:

  • Experience as an Office Secretary, Executive Assistant, or similar role, preferably in a fast-paced environment.
  • Excellent verbal and written communication skills, with a professional and courteous demeanor.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
  • Proficient in using various office software (e.g., MS Office Suite) and comfortable learning new systems and tools.
  • Demonstrated ability to build and maintain professional relationships with clients through various communication channels.
  • Familiarity with social media platforms and knowledge of best practices for engaging with clients online.
  • Proactive and self-motivated, with the ability to work independently and anticipate the needs of the management team.
  • Excellent time management skills and the ability to multitask in a fast-paced environment.
  • Strong problem-solving skills, with the ability to think quickly and adapt to changing situations.
  • A positive attitude, flexibility, and a willingness to take on additional responsibilities as needed.

Job Type: Full-time
Pay: AED2,500.00 - AED3,500.00 per mont
