Description This position will provide support to all firm employees by performing duties for the Office Administration Services Department, including but not limited to: mail distribution, walking errands to deliver packages, copy and scanning projects, assisting with special projects, and performing other general administrative tasks. This position serves as the primary backup Receptionist. Perform other job duties as assigned. ESSENTIAL JOB FUNCTIONS: Mail Administration: · Retrieve the daily mail from the carrier and newspapers from outside of the building. · Deliver newspapers to each applicable office floor. · Open incoming mail, scan, rename files, email to the correct employee(s), and deliver physical copies. · Utilize postage machine to process outgoing mail. · Coordinate and complete bankruptcy, marketing, accounting, and special mailings. · Complete daily walking errands. Office Supplies: · Routinely complete inventory of office supplies, organize supply closet, review inventory in Su Casa area of building, verify delivery of supplies and place office supplies in inventory closet and/or copy rooms. · Restock copy machines with paper and maintain cleanliness of copy machines in each copy room. · Clean desk surface and drawers of new hires. Hospitality Administration: · Greet, assist clients and visitors. · Maintain cleanliness of kitchen, kitchen equipment and fridges, microwaves and all refrigerators including defrosting the fridges monthly. · Maintain daily cleanliness of coffee stations on all floors. · Maintain tidiness of lobby areas including vacuuming and sweeping as needed. Office Equipment: · Operate all Office Administration Services machinery including fax, copiers, scanners, and binding equipment. · Scan and combine large documents per firm employee request(s). · Produce CDs and flash drives as requested. · Routinely wipe down Office Administration Services countertops and machinery.
