Responsibilities

PURPOSE

The Office Administration Assistant is responsible for assisting Project Managers and Estimators perform their duties. Assisting with office operations and procedures in order to ensure organizational effectiveness and efficiency.

RESPONSIBILITIES:

The following listing of essential job duties indicates the general nature and level of work required for this job. Individuals assigned to this job will be asked to perform other duties as required.

  • Update online safety and prequalification sites.(Isnetworld, Avetta, and others…)
  • Assist Project Managers with Subcontract and Purchase Orders.
  • Job Closeout Package
  • Assist with Accounting AP Entry. Manage Cell Phone accounts and other special contracts
  • Cross train with others in administration in order to backup these folk as needed.
  • Assist corporate secretary with preparation of financial reports, legal documents, tax documents, and other documents as needed.
  • Answer Telephone calls and direct callers to appropriate staff.
  • File and retrieve documents for accounting, purchasing, estimating, project management, etc.
  1. Organize office supplies and materials; re-order as necessary.
  2. Coordinate with Safety manager to secure Safety meeting location and food.
  3. Keep Inventory of Safety Shirts and vests. And other safety items
  4. Performs other duties as assigned.
