Description
EverQuote is seeking a proactive, highly organized Office Administrative Assistant to help keep our Cambridge headquarters running smoothly and support our leadership team in day-to-day operations. This individual will play a key role in creating a positive, professional, and collaborative office environment - ensuring both our space and our people have what they need to succeed. This role is based in our Cambridge HQ and requires being onsite 4–5 days a week (9:00 a.m. - 5:00 p.m.). What you'll do: Provide daily administrative and logistical support to members of the Senior Leadership Team, including scheduling, calendar management, travel coordination, and expense reports. Assist with recruiting coordination—scheduling interviews, greeting candidates, and ensuring a seamless interview experience. Help plan and execute company meetings, team offsites, and leadership events with precision and attention to detail. Serve as a central point of contact for office operations, ensuring a professional and welcoming atmosphere for employees and guests. Partner with the Office Facilities Assistant to maintain daily office organization, vendor coordination, and basic operational needs. Manage office communications and announcements, ensuring clarity and consistency across teams. Coordinate catering, meeting logistics, and hospitality needs for onsite meetings and visitors. Maintain inventory of office supplies and refreshment items, keeping spaces tidy and well-stocked. Support special projects, team initiatives, and administrative priorities as assigned. Demonstrate strong judgment, discretion, and a proactive mindset when handling sensitive or time-critical information. Contribute to company culture and engagement by helping organize small events, celebrations, and team-building activities. Who you are: Two years of dedicated administrative support experience, including at least one year of recent experience managing complex calendars for an executive or team. Bachelor's degree or equivalent work experience is highly desirable. Brings an enthusiastic, professional, and collaborative demeanor with a strong work ethic. Highly organized and detail-oriented, ensuring accuracy and efficiency in all tasks. Skilled in managing multiple calendars, coordinating complex schedules, and facilitating meetings seamlessly. Demonstrates proactive problem-solving abilities and a commitment to exceptional internal and external service. Thrives in fast-paced, dynamic environments while effectively partnering with colleagues to achieve goals. Possesses excellent communication and interpersonal skills, fostering positive relationships at all levels. Experienced and proficient in leveraging technology and systems to enhance efficiency and productivity.
