Working hours: Part-time 50% (19.25 hours/week) with flexible arrangements

The RWTH University Hospital Aachen is seeking a proactive and highly organized Office Administrative Assistant to support a newly recruited Professor in the field of translational cancer research. This role involves managing a wide range of administrative and organizational tasks in an academic, clinical, and research environment. Full professional proficiency in both English and German is required (English is the working language of the lab). The successful candidate will play a key role in ensuring the smooth functioning of research and teaching activities within an internationally oriented and interdisciplinary team.

REQUIRED QUALIFICATIONS

  • Vocational training (e.g. Kauffrau/Kaufmann für Büromanagement) or equivalent qualification. A university degree would be advantageous
  • Full professional proficiency in English and German is required
  • Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Experience in administrative tasks as well as appointment and travel organization is a plus
  • Previous experience in a similar support role in an academic research or clinical environment
  • Proficient use of academic tools (e.g. EndNote, BioRender, Prism, or similar)
  • Intercultural competence and teamwork skills to contribute to an inclusive work environment
  • Independent and structured way of working and discretion in handling sensitive information
Responsibilities
  • Provide comprehensive administrative and organizational support in both English and German
  • Manage calendars, appointments, and travel arrangements
  • Independent preparation, formatting, and editing of documents, presentations, and correspondence, including reports and scientific communication
  • Independent planning and coordination of courses, meetings, seminars, events, and research projects
  • Act as a liaison between the research laboratory and university administration
  • Management of third-party funds (DFG, EU, etc.)
  • Preparation and support for committee work and project proposals”
  • Maintenance and updating of databases and website content related to teaching and research
  • Interface function between scientific staff, administrative units and external partners
  • Support onboarding of new members and general office management (in coordination with the Lab Manager)
