EXPERIENCE

  • Experience as an Office Administrator and/or Personal Assistant.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint).
  • Strong typing skills and ability to draft professional documents.
  • Comfortable handling confidential information with discretion.
  • Confident managing multiple calendars and coordinating across EU time zones.
  • Strong ability to present data accurately and clearly.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in work.
  • Excellent written and verbal communication skills.
  • Professional phone etiquette and client-facing skills.
  • Proactive, resourceful, and confident in carrying out tasks independently.
  • Previous experience managing travel arrangements.
Responsibilities
  • Provide direct support to company Directors, and occasional personal tasks.
  • Interact with customers and engineers daily, providing a high level of support and communication.
  • Perform a wide range of administrative and clerical tasks to ensure smooth daily operations.
  • Manage and organize both digital and physical files, documents, and records.
  • Assist in scheduling internal and external meetings, including preparing agendas and taking minutes when required.
  • Arrange travel and accommodation (flights, hotels, car hire) for Directors and team members as needed.
  • Conduct data entry and maintain accurate, up-to-date records and documentation.
  • Prepare reports, presentations, correspondence, and other documents on behalf of senior staff.
  • Manage and update HR systems (e.g., BrightHR), employee records, and training compliance.
  • Oversee onboarding processes, including preparing offer letters and contracts for new hires.
  • Coordinate communication with suppliers and external services, including leasing companies for the company fleet.
  • Track and manage key administrative deadlines, such as training renewals, contract expiries, and license updates.
  • Occasionally assist with personal tasks for the Director (e.g., scheduling appointments, booking reservations).
  • Support cross-time zone coordination, sometimes outside normal business hours when necessary.
