JOB SUMMARY

We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, and supporting administrative functions. This role requires proficiency in various office software and strong communication skills to ensure smooth daily operations.

SKILLS

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent typing skills with attention to detail for accurate data entry and proofreading.
  • Experience in office management or administrative roles is preferred.
  • Familiarity with Accounting software for bookkeeping purposes is a plus.
  • Bilingual abilities are advantageous for effective communication with diverse clients.
  • Previous experience in a Steel Fabrication/Construction is beneficial but not required.
  • Strong time management skills to prioritize tasks effectively in a fast-paced environment.

Responsibilities
  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems to direct calls and provide customer support.
  • Maintain office organization through effective filing, data entry, and calendar management.
  • Utilize SAGE for bookkeeping tasks and financial record keeping.
  • Provide clerical support, including typing, proofreading documents, and managing correspondence.
  • Project Budgeting, Construction Project Billing, Payroll Experience is Highly Desirable
  • Assist with scheduling appointments and managing the calendar for team members.
  • Ensure the office is well-stocked with supplies and equipment is maintained.
  • Support administrative tasks as needed, including preparing reports and presentations.
  • Foster a welcoming environment for clients and visitors through excellent phone etiquette and customer service.
