JOB SUMMARY

The Department of Natural Resources is currently hiring three Office and Administrative Specialist Senior positions.
These three positions support administrative needs for three Ecological & Water Resources Sections: Inventory Monitoring and Analysis (IMA), Ecosystem Management and Protection (EMP), or Conservation Assistance and Regulation (CAR). Each role provides tailored administrative support to one of these sections.
These positions provide procedural, fiscal, administrative, and programmatic support to staff in the designated section. Duties include but are not limited to responding to a wide range of inquiries; scheduling meetings; implementing and refining administrative procedures; routing documents and managing and maintaining record-keeping systems and assisting with data entry; event and conference planning and ordering/tracking goods and services and other financial processes. These positions have a critical role in ensuring that all administrative operations are carried out efficiently, consistently, and in accordance with established division and agency-level policies and protocols.
All three positions are located in St Paul. Two of these positions report out of the DNR’s Central Office location (500 Lafayette Road). The third position reports out of the River Bend Office (325 Randolph Avenue).
This position may be eligible to telework on a part-time basis which is subject to change. If approved, the employee would be required to complete an annual telework agreement.

MINIMUM QUALIFICATIONS

  • Data entry skills sufficient to create database records and update entries in a timely manner.
  • Knowledge of communications sufficient to explain the reasons for transactions and procedures, rules, and regulations so that others understand the information they are being given.
  • Skill in developing and implementing administrative and program policies, procedures, and service standards in cooperation with management.
  • Skill in customer service sufficient to effectively communicate, listen to, and elicit information with tact and diplomacy.
  • Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
  • Skill in setting work priorities, arranging staff coverage to meet workload needs, and initiating new work assignments.

PREFERRED QUALIFICATIONS

  • Three years of professional experience in a full-time office and administration position.
  • One year of clerical experience performing accounts receivable functions in a business/finance/accounting setting.
  • One year of experience supporting senior executive or program team calendars, scheduling, correspondence, and daily operations.
  • Post-secondary education in business, finance, or communications.
  • One year of experience supporting administrative functions in local, state or federal government.

ADDITIONAL REQUIREMENTS

This position requires an unrestricted Class D Driver’s license with a clear driving record.
