Responsibilities

WHY THIS ROLE?

This role has responsibility for overall management of the Singapore KONE offices in addition to providing support to leadership team

WHAT WILL YOU BE DOING?

Office management

  • Supports management of the day-to-day operation of the Singapore office in partnership with People & Communication, Finance, IT and procurement. Central point of contact for vendors related to office maintenance, including, landlord, building / facilities management, office supplies, boardroom bookings, franking machine, etc.
  • Creates and updates procedures for effective running of the Office and delivers the Office Maintenance schedule
  • Supports corporate travel, is the key contact for escalations, coordinates addition/removal of traveler profiles in relevant systems, manages vendor performance, communicates key changes to KONE travelers. Hotel booking.
  • Facility Management - Manage office access cards, including issuance and collection of access cards for all employees and visitors in Singapore office. Manages external vendors, such as cleaners, season parking registration and renewal
  • Supports the management of local suppliers, including Singapore corporate hotels.
  • Simplify and digitize tasks to enhance efficiency and streamline processes.
  • Develop and implement Standard Operating Procedures (SOPs) for the Office Management.
  • Support creation of materials to support use of corporate systems and processes.

Events organization

  • Plan and organize company events including festive celebrations. Ensure programme and games/activities are properly planned out, venue is booked, invite sent, food and drinks are catered, etc.
  • Supports leaders with organizing employee forums, such as Townhall and meetings (internal & external). Ensure all meetings (virtual or physical) run smoothly logistically and refreshments are provided if appropriate

Administrative support

  • Support and coordinate global executive leader meetings and schedules, which may include logistics, meals, venues, group transport
  • Assists in coordination of KONE distribution lists and organizing onboarding meetings for new Leaders in APM and KES Leadership team with advise from the respective managers.
  • Maintain EVP’s office and accounting records.
