Chester Race Company are proud to present an exciting opportunity for an individual to join the Executive team as an Office Administrator and Executive Assistant on a permanent contract, based in the heart of Chester. If you are a highly organised and dynamic person with a high attention to detail, this is the perfect role for you.

Responsibilities
  • Collate documents, book meetings, track deadlines, and circulate action points for the quarterly business reviews.
  • Manage company mailouts, including drafting and coordinating communications.
  • Send invitations and race day packs on behalf of the company.
  • Support project teams and workgroups with ad-hoc requests and project management assistance.
  • Assist with organising company presentations for staff and stakeholders.
  • Provide executive support to racecourse committees at Bangor-on-Dee and Chester.
  • Provide executive support to the COO and GCD through calendar & diary management.
  • Handle expense reporting as required and book travel and accommodation arrangements.
  • Oversee meeting room availability, bookings, setup and breakdown.
  • Order office supplies and maintain appropriate stock levels.
  • Ensure the smooth running of the kitchen area including coordinating lunch orders and collection.
  • Liaise with the HQ Reception Team regarding greeting visitors, distributing post, and ad-hoc requests (e.g. flowers or gifts for staff).
  • Report maintenance issues to internal teams or CWAC, ensuring timely resolution.
  • Liaise with the cleaning contractor to maintain office cleanliness and standards.

The successful office administrator and executive assistant support will have the following:

  • Previous experience working in a office environment or administrative role
  • Desirable experience in a similar executive assistant or office manager role
  • Excellent written and verbal communication skills, with the ability to interact with senior stakeholders, staff, and external partners.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Ability to handle sensitive information and maintain a high level of confidentiality.
  • Basic experience in supporting or organizing events and meetings, including logistical coordination.
  • Ability to work effectively under pressure, prioritise tasks, and meet tight deadlines.
  • Strong ability to manage multiple priorities and deadlines with a high level of efficiency and attention to detail.
