QUALIFICATIONS AND SKILLS

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Adobe InDesign is an asset.
  • Experience in office administration, executive support, or a similar role, is an asset.
  • Strong written communication skills
  • Exceptional organizational, multitasking, and time-management abilities.

Responsibilities

ABOUT THE ROLE

We are currently seeking an Office Administrator and Proposal Writer to join our team on a permanent, full-time basis. This dynamic position is ideal for a detail-oriented professional who enjoys maintaining smooth office operations and is interested is developing Proposals for various engineering projects.

KEY RESPONSIBILITIES

  • Greet and assist visitors in a professional and friendly manner.
  • Manage incoming phone calls, emails, and internal/external messages, ensuring timely redirection or follow-up.
  • Coordinate mail, packages, and courier deliveries for incoming and outgoing items.
  • Assist in organizing and supporting internal events, including team building and social gatherings.
  • Coordinate with office suppliers
  • Maintain accurate filing systems and perform photocopying, scanning, and data entry tasks as required.
  • Provide administrative support to the Office Manager and perform general office administration duties.
  • Develop high-quality proposals, expressions of interest, and other project/proposal documents.
  • Search for Bid opportunities
  • Collaborate with technical teams and leadership to gather content for proposals and submissions.
  • Maintain proposal templates, project sheets, and company credentials.
  • Assist in ensuring proposal content aligns with client requirements and organizational branding standards.
  • Track submission deadlines and ensure timely, complete responses to RFPs, RFQs, and other opportunities.
