Description
To provide comprehensive, confidential, and high-quality reception and administration support to all Leadership team areas and functions "1. Support site admin including but not limited to; company cars, agency admin, site wide training, holiday calendar maintenance. 2. Support EHS Manager with administration of Benchmark including but not limited to; updating site metrics, training aligned with site traning plan, input and upload data as required. Support health and safety processes including maintenance and control of fire roll call list, coordination of inductions for visitors, contractors, and agency staff, and issuing of PPE as appropriate. 4. Process site orders on SAP, raise POs and resolve blocked invoices as required. Including processing agency timesheets on a weekly basis. 5. Attending site meetings as an administrator to take meeting notes for site meetings such as CCSW, roundtables and Works Council. 6. Act as a first point of contact, in reception, for the business providing excellent customer service to internal and external stakeholders. Including welcoming visitors to site, management, and communication of visitor requirements, answering and redirecting incoming calls, and ensuring the reception area and marketing suite are maintained to the highest standards. 7. Provide general office support, including dealing with post, organising meetings, maintaining telephone extension lists, locker management, ordering and controlling stationary supplies, monitoring and issue of uniform, pool car coordination, preparation of purchase orders, and assisting with travel and accommodation arrangements. 8. Support accurate maintenance of physical files and records for all Leadership team areas in accordance with GDPR requirements, to include time and attendance management for permanent and agency staff. 9. Coordinate and manage the site recognition council, proactively identifying oppurtunities to improve participation and engagement. Support and contribute to site events including wellness and inclusion and diversity initiatives. 10. Prepare and analyse metrics to highlight key trends including attendance, recognition, engagement and flexi-banks. Create bespoke reports for stakeholders as required (support and training will be given). SAP, Microsoft Office Systems
