Description:

Job Overview We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring smooth office operations, providing administrative support, and supervising various office functions. This position requires strong organizational skills, effective communication abilities, a bookkeeping or accounting background, and a commitment to maintaining a professional environment.

QUALIFICATIONS

  • Proven experience in an administrative role, with supervisory responsibilities preferred.
  • Proven experience as a bookkeeper, with reporting to accounting (CFO).
  • Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Excel.
  • Excellent phone etiquette and interpersonal communication skills.
  • High level of attention to detail and problem-solving skills.
  • A positive attitude and the ability to work collaboratively within a team environment.
  • Post-secondary education in accounting, finance, or a related field is an asset.

Responsibilities:

  • Oversee daily office operations and ensure efficient workflow.
  • Manage front desk responsibilities, including dispatching supplies and technicians for fieldwork.
  • Familiarity with accounting software (QuickBooks) as we transitioned to our new software almost a year ago.
  • Handle vendor management, including negotiating contracts and maintaining relationships.
  • Implement phone etiquette standards for effective communication with clients and stakeholders.
  • Maintain and update financial records, including accounts payable/receivable, general ledger, and reporting to the CFO and CEO.
  • Reconcile bank accounts and resolve discrepancies in a timely manner.
  • Assist with sales by finalizing transactions over the phone.
  • Ensure compliance with all relevant financial regulations and company policies.
