Description:
Job Overview We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring smooth office operations, providing administrative support, and supervising various office functions. This position requires strong organizational skills, effective communication abilities, a bookkeeping or accounting background, and a commitment to maintaining a professional environment.
QUALIFICATIONS
- Proven experience in an administrative role, with supervisory responsibilities preferred.
- Proven experience as a bookkeeper, with reporting to accounting (CFO).
- Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Excel.
- Excellent phone etiquette and interpersonal communication skills.
- High level of attention to detail and problem-solving skills.
- A positive attitude and the ability to work collaboratively within a team environment.
- Post-secondary education in accounting, finance, or a related field is an asset.
Responsibilities:
- Oversee daily office operations and ensure efficient workflow.
- Manage front desk responsibilities, including dispatching supplies and technicians for fieldwork.
- Familiarity with accounting software (QuickBooks) as we transitioned to our new software almost a year ago.
- Handle vendor management, including negotiating contracts and maintaining relationships.
- Implement phone etiquette standards for effective communication with clients and stakeholders.
- Maintain and update financial records, including accounts payable/receivable, general ledger, and reporting to the CFO and CEO.
- Reconcile bank accounts and resolve discrepancies in a timely manner.
- Assist with sales by finalizing transactions over the phone.
- Ensure compliance with all relevant financial regulations and company policies.
