OVERVIEW

We are seeking a detail-oriented and highly organized Office Administrator/Biller to support our construction operations. This role is responsible for generating accurate invoices, organizing and managing truck and job tickets, and assisting with pulling permits for scheduled work. The ideal candidate is efficient, proactive, and comfortable working in a fast-paced, team-oriented

QUALIFICATIONS

  • Minimum 5 years in an administrative or billing role, preferably in construction or a related industry.
  • Intermediate Microsoft Excel experience
  • Must be proficient in QuickBooks

SKILLS

  • Strong knowledge of billing procedures and document handling.
  • Proficient in Microsoft Office Suite (especially Excel and Outlook).
  • Familiarity with construction management software or accounting platforms is a plus.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • High school diploma or equivalent required; Associate’s degree in business or related field preferred.

Responsibilities

Billing and Invoicing

  • Prepare and issue accurate and timely invoices based on job and truck tickets.
  • Collect and verify field tickets, timesheets, and supporting documentation.
  • Ensure all invoices align with contractual agreements and client requirements.
  • Follow up on billing discrepancies or missing information with field teams or project managers.

Ticket Management

  • Gather and organize daily truck logs and job tickets for invoicing.
  • Maintain accurate records and logs for all job-related documentation.
  • Work closely with field personnel to ensure timely submission of tickets.

Permit Coordination

  • Assist the scheduler with research and submission of permit applications.
  • Coordinate with municipalities or agencies to obtain required permits.
  • Track permit statuses and ensure all permits are secured before job commencement.

Administrative Support

  • Maintain digital and physical filing systems for invoices, permits, and job-related documents.
  • Assist with other administrative tasks such as answering phones, scheduling meetings, and supporting project documentation needs.
  • Communicate with clients, vendors, and internal teams professionally and promptly.
