QUALIFICATIONS

  • Diploma or Bachelor’s degree in Business Administration, Office Management, or related field.
  • 1+ years of administrative or office management experience (preferably in customer service or operations).
  • Strong organizational, problem-solving, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently as well as in a team under strict timelines.
  • Knowledge of consular, visa, or government service processes (an asset).
Responsibilities

ROLE OVERVIEW

The Office Administrator will oversee day-to-day administrative operations of the Vancouver Center. This role requires strong organizational, communication, and multitasking skills to ensure seamless office functioning, compliance with consular guidelines, and effective coordination between staff and management.

KEY RESPONSIBILITIES

  • Manage front-office and back-office administrative tasks, ensuring smooth daily operations.
  • Maintain accurate records, reports, and documentation (applications, fee reconciliation, courier manifests, etc.).
  • Monitor compliance with company and consulate policies, ensuring adherence to operational standards.
  • Handle correspondence (emails, calls, memos), filing, and data entry with high attention to detail.
  • Support Center Manager in staff scheduling, attendance tracking, payroll coordination, and performance monitoring.
  • Manage inventory of office supplies, equipment, and vendor relationships.
  • Serve as a point of contact for applicants, providing assistance on processes and documentation requirements.
  • Assist in training and supporting submission officers and back-office staff.
  • Prepare periodic reports (weekly/monthly) for management and consulate liaison.
  • Ensure a professional and customer-friendly environment at the center.
