ABOUT US:

Ex Animo Coffee & Pastry is a fast growing wholesale facility, selling delicious pastries and fresh roasted coffee in the Greater Vancouver Area. We’re looking for a detail-oriented and organized Office Administrator / Bookkeeper to help support our operations and keep the back office running smoothly.

POSITION SUMMARY:

The Office Administrator / Bookkeeper will play a key role in the day-to-day operations of our business. This involves managing administrative tasks, bookkeeping, and providing support to our production teams. You will be the go-to person for ensuring our financial records are accurate and our office stays organized and efficient.

REQUIREMENTS:

  • 3+ years of experience in bookkeeping and office administration
  • Proficiency with QuickBooks (or similar software) and Microsoft Office Suite
  • Strong proficiency with Microsoft Excel
  • Strong attention to detail and organizational skills
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Excellent communication skills, both written and verbal
  • Experience in the food industry is a plus, but not required
  • Someone looking to grow with the Company
  • Self starter

Responsibilities

Bookkeeping:

  • Maintain accurate financial records using QuickBooks or similar software
  • Process accounts payable and receivable
  • Reconcile bank and credit card statements
  • Prepare monthly financial reports for management
  • Perform basic bookkeeping (Cash, AP, AR and inventory)
  • Generate invoices and process the payment

Office Administration:

  • Answer phone calls and emails professionally, provide phone etiquette and excellent customer service to clients and visitors
  • Maintain filing systems and company records
  • Assist with order entry, invoicing, and customer account management
  • Assist in organizing daily orders and communicating with roasting and kitchen staff
  • Handle shipments to Canada and USA
  • Organize and maintain physical and electronic files and records
  • Assist in the development and implementation of office policies and procedures
