Description
We are looking for a responsible Part-Time Office Administrator to perform various administrative, clerical, and marketing tasks. Duties of the Office Administrator include providing support to our managers and employees, assisting with daily office needs, managing our company's general administrative activities, and planning/executing marketing efforts. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like Microsoft applications and office equipment. If you also have previous experience as a secretary, executive assistant, or administrative assistant and are familiar with our industry, we'd like to meet you. Ultimately, a successful Office Administrator should ensure our office's efficient and smooth day-to-day operation. Responsibilities Provide administrative support to office staff, field managers, and subcontractors Prepare, track, and maintain contractor paperwork, including insurance certificates, W-9 forms, proposals, and invoices Assist with scheduling and coordinating maintenance and repair jobs Maintain organized digital and paper filing systems for contracts, projects, and vendor records Prepare reports, spreadsheets, and correspondence using Microsoft Office (Word, Excel, Outlook, PowerPoint) Communicate with clients, property managers, and contractors to ensure accurate and timely updates Order and track office and field supplies; coordinate with vendors as needed Support general office operations and perform other administrative tasks as assigned Assist with accounting tasks as needed Other duties as assigned Knowledge of office management systems and procedures. Working knowledge of office equipment, like printers and fax machines. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Strong organizational skills with the ability to manage multiple projects simultaneously, meet deadlines, and appropriately prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. High School degree required, Bachelor’s degree preferred Knowledge of marketing strategies and experience with marketing software are also a plus. Spanish as an additional language is a plus.
