POSITION SUMMARY

The Office Administrator position is responsible for managing end-to-end operations and administration needs for our Efinix technology team in Toronto, Canada. Primary areas of responsibility span general office, HR and IT administration. This role is key to ensuring an organized, safe, and welcoming workplace where our technical team members can thrive. The ideal candidate is proactive, detail-oriented, and comfortable working independently in a fast-paced, tech-focused environment.

REQUIRED SKILLS & QUALIFICATIONS

  • At least 5 years of experience in Office and/or HR Administration, preferably supporting technical or engineering teams within a global company.
  • Direct experience managing Canadian benefits and payroll administration.
  • Proficient in MS Office Suite, Google Workspace, and general office technologies.
  • Exceptional organizational and time-management skills with proven ability to prioritize and action tasks independently.
  • Clear and concise written and verbal English communication skills.
  • Ability to handle sensitive information with confidentiality and discretion.

PHYSICAL REQUIREMENTS

  • Ability to lift and carry office supplies and equipment (up to ~12 kgs).
  • Ability and willingness to work physically on-site 2 days per week.
Responsibilities
  • Oversee day-to-day office operations, including supplies management, deliveries and vendor management.
  • Maintain a clean, organized and safe office environment in compliance with health and safety standards.
  • Manage facility maintenance requests with building management and service providers as needed.
  • Assist with the coordination of team meetings, site visitors and social events.
  • Coordinate and lead employee onboarding processes, including IT setup, workspace preparation, and welcome documentation.
  • Own payroll administration for the Efinix team in Canada
  • Own Canadian benefits administration for the Efinix team in Canada
  • Partner with our Chief People Officer to ensure compliance with local requirements and legislation.
  • Support special projects as needed.
  • Manage expense reports and office budgets as assigned.
  • Support leadership team with travel arrangements and meeting logistics.
  • Prepare and distribute internal communications and announcements.
  • Provide direct administrative support to the Site Director.
