About the Role
ROMA Heating & Cooling is seeking a detail-oriented Office Administrator to join our team. The right candidate will bring excellent English communication skills, computer proficiency (especially with CRM systems), and confidence on the phone for both customer service and sales-related conversations. Familiarity with HVAC services is an asset.
This role is central to keeping our operations smooth, supporting both customers and technicians, and helping us maintain our reputation for reliable service across Greater Vancouver.

Key Responsibilities

  • Handle inbound and outbound customer calls with professionalism and clarity
  • Book and confirm service appointments, annual maintenance visits, and follow-ups
  • Use CRM software and to manage schedules, records, and communications
  • Provide sales support through persuasive phone conversations, including promoting maintenance packages and service upgrades
  • Assist with daily office administration (emails, filing, documentation, scheduling)
  • Support technicians with service coordination and ensure accurate records are maintained
  • Deliver excellent customer service, handling inquiries, complaints, and follow-ups

Qualifications

  • Fluent in English (verbal and written) – clear, professional communication is required
  • computer skills, including CRM systems and Microsoft Office Suite
  • Confident and persuasive phone manner; able to upsell and promote services
  • Prior experience in customer service, office administration, or sales support (HVAC/ experience a strong plus)
  • Strong organizational and multitasking skills
  • Positive, professional attitude and customer-first approach
