Overview-
We are seeking a highly organized and detail-oriented Office Administrator/bookeeper to join our team. Working for our Director of Administration you will be responsible for various day-to-day administrative tasks and entering financial transactions into Quickbooks Accounting Software ,our ERP Inventory Management Software, assist in managing our HR Platform and inventory /production/Shipping/receiving and food safety paperwork. This is a vital role in ensuring the smooth operation of our office.
Responsibilities-

Our Office administrative work involves a variety of tasks and responsibilities to ensure the smooth operation. Some key responsibilities include, but are not limited to:

  • Answering and directing phone calls.
  • Handling correspondence (emails, letters, packages, etc.).
  • Greeting and assisting visitors.
  • Maintaining and organizing office files and records.
  • Preparing and editing documents, reports, and presentations.
  • Managing databases and ensuring data accuracy.
  • Ordering and stocking office supplies.
  • Keeping track of office inventory and equipment.
  • Processing invoices, receipts, and expense reports.
  • Managing petty cash and assisting with budgeting.
  • Assisting with payroll and financial record-keeping.
  • Ensuring the office is clean and organized.
  • Coordinating maintenance and repairs for office equipment and facilities.
  • Providing excellent customer service to clients and stakeholders.
  • Addressing customer inquiries and resolving issues.
  • Ensuring compliance with company policies and procedures.
  • Handling confidential information with discretion.
  • Troubleshooting basic IT issues or liaising with IT support.
  • Managing office technology and systems.

Requirements-
· High school diploma or equivalent.
Proficiency with Quickbooks Online is a MUST
· An associate or bachelor’s degree in business administration or a related field is preferred.
· Previous experience in an administrative or office support role is beneficial.
· Strong verbal and written communication skills.
· Ability to interact professionally with all levels of staff and external contacts.
· Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Familiarity with office equipment (printers, scanners, fax machines).
