Description

We are seeking an organized, detail-oriented Estimating Assistant & Office Administrator to support our estimating team and manage day-to-day office operations. This dual-role combines numerical/analytical support for preparing cost estimates with administrative responsibilities that keep the office and project teams running smoothly. The ideal candidate is proactive, comfortable with numbers and spreadsheets, and has strong communication and organizational skills.
Key responsibilities

Estimating support (60%)

  • Assist estimators with preparing accurate and timely cost estimates and tender submissions for projects.
  • Collect, review and organize bid documents, specifications, drawings, and historical cost data.
  • Enter pricing and labor rates into estimating spreadsheets or estimating software.
  • Request and track quotes from subcontractors and suppliers; maintain vendor quote files.
  • Maintain and update materials and labor cost databases and pricing catalogs.
  • Assist with producing professional proposal documents, bid summaries and comparison reports.
  • Ensure all bid components meet submission requirements and deadlines.

Office administration (40%)

  • Front-desk duties: answer phones, greet visitors, manage mail and deliveries.
  • Maintain office supplies, equipment and records; order supplies as needed..
  • Maintain project filing systems (digital and physical) and ensure document control standards.
  • Assist HR/admin tasks: onboarding paperwork, timesheet collection, and maintaining employee records.
  • Provide general administrative support to management and project teams.

Qualifications

  • Education: degree, diploma or certificate in Construction Management, Business Administration, Estimating, or related field preferred. Equivalent experience considered.
  • Experience: 1–3 years in construction estimating support, a supplier/subcontractor office, or general office administration.

Technical skills:

  • Proficient with Microsoft Excel
  • Strong attention to detail and numerical accuracy.
  • Excellent organizational and time-management skills; able to prioritize competing tasks.
  • Clear written and verbal communication skills.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Team player with a proactive, problem-solving attitude.
