We are looking highly organized, professional, and personable individual who thrives in a dynamic environment. Our growing public accounting firm is looking for an Office Administrator / Accounting Assistant to join our team. This is a front-facing role that combines administrative support with junior accounting tasks and marketing for the firm. This role is vital in maintaining a welcoming, organized office environment while assisting the accounting team with delegated support tasks such as document management, client communications, marketing, community development, and light bookkeeping duties. No day or client is ever the same!
In this role, you will be responsible for:
· Responding to phone calls, general email inquiries, new client inquiries, and customer support inquiries.
· Administrative support duties for client onboarding/offboarding
· Managing firms’ presence on digital platforms including Facebook, Twitter, and LinkedIn account(s).
· Development of new marketing and client support literature
· Manage appointment scheduling, calendar coordination, and client visits if necessary
· Collect, organize, and manage client documents for tax returns, financial statements, and authorizations - has a general understanding of the different forms and documents involved
· Enter client information into accounting software or portals
· Assist with organizing bookkeeping records for the firm including expense management and client invoicing based on direction from firm management
· Collect and process client payments and help maintain those records
· Assisting with the deployment of new IT technologies as a part of the App ecosystem that is currently used for our client services.
· Anticipating the needs of office staff to ensure resources are available including ensuring the office environment is tidy, welcoming and well-stocked.
Qualifications, Skills and Attributes:
· Diploma in Office Administration/ Business Administration or equivalent programs
· 2+ years of experience in a dual administrative/accounting support role
· Proficient computer skills. Experience with Microsoft Office – Word, Excel, Outlook
· Strong self-management skills with the ability to prioritize, multi-task, and take initiative
· Strong attention to detail and ability to follow instructions precisely
· Is tech-savvy and has a passion for software and innovation
· Excellent customer service skills
· Great communication skills and ability to work well with clients and colleagues
