POSITION OVERVIEW:

General Fusion is seeking a well-organized and detail-oriented Office & Facilities Administrator to manage daily administrative operations, support staff, and assist with facilities maintenance and office logistics at our Richmond, B.C. location. This role is responsible for the main reception desk and phone lines and will also perform several other duties in support of facilities and administration. Reporting to the Senior Manager, Facilities & Projects, this role requires strong communication, problem-solving, and multitasking abilities to support the efficient operation of the office and facilities functions.

RELEVANT SKILLS AND EXPERIENCE:

  • Minimum high school diploma or GED; additional administrative training, or other professional or college/university training is a plus
  • 2-3 years experience in office administration and facilities coordination.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); Jira and NetSuite experience is a plus.
  • Strong organizational, time-management, and problem-solving skills.
  • Excellent communication and customer service abilities.
  • Ability to multitask and adapt to a dynamic work environment.
  • Knowledge of basic accounting, facilities operations, and blueprint reading is an asset.
Responsibilities
  • Oversee daily office operations, including reception duties, correspondence, scheduling, and supply management. Serve as the first point of contact for visitors, clients, and staff.
  • Maintain office facilities, ensuring cleanliness and order in kitchens, meeting rooms, and common areas. Order maintenance supplies as needed (e.g., soap, paper towel, garbage bags, etc.).
  • Support meeting setup, including boardroom preparation, catering coordination, and minute-taking if needed.
  • Receive packages at the reception. Handle shipping, receiving, and inventory tracking, including order processing in NetSuite and Jira.
  • Assist with travel bookings and expense report inquiries.
  • Support internal office moves, maintenance scheduling, and vendor coordination (e.g., pest control, locksmiths).
  • Responsible for ordering, restocking and maintaining coffee, snack & beverage supplies thru Instacart. Perform maintenance for the coffee machines and prepare coffee throughout the day as needed. Set up daily snacks, fruits and pastries.
  • Assist with event planning, special projects, and facilities-related purchases.
