JOB TITLE: OFFICE ADMINISTRATOR

Location: HFF Civil Engineering, Cambois, NE22 7DB
Permanent, Full-time – Day Shift
We are looking for a reliable and motivated Office Administrator to join our small but busy team at HFF Civil Engineering. This is a varied role that requires someone who is hard-working, punctual, dedicated, and able to work both independently and collaboratively.
The right candidate will be polite and professional, able to handle queries, problems, and occasional complaints over the phone, while staying calm under pressure. Our office can get very busy, so the ability to prioritise tasks, meet deadlines, and follow processes accurately is essential.

SKILLS & EXPERIENCE:

✅ Previous office/administrative experience (advantageous)
✅ NVQ Level 2 in Business or Customer Care (desirable but not essential)
✅ Knowledge of Sage and/or weighbridge operations (advantageous, training available)
✅ Strong attention to detail and high accuracy in data entry
✅ Excellent communication skills, both written and verbal
✅ Ability to work well under pressure in a fast-paced environment
✅ Due to the location of the site, candidates must have their own reliable transport

Responsibilities
  • General administrative duties to support the day-to-day running of the office
  • Labelling and franking outgoing mail
  • Handling incoming calls and making outgoing calls
  • Liaising with suppliers, customers, and employees regarding schedules, job allocation, and product specifications
  • Updating systems daily, ensuring accurate data entry and record-keeping
  • Providing support to colleagues and management as required
  • Operating the weighbridge (training will be provided if needed), weighing vehicles, and issuing delivery tickets
  • Checking waste transfer notes and recording for waste returns
  • Coordinating with manufacturers for repairs, maintenance, and servicing
  • Scanning, uploading, and electronically filing documents
  • Supporting accounts with checking rates, invoices, and related tasks
