Job Details Position Type: Full Time Salary Range: $50,000.00 - $60,000.00 Job Category: Shared Services The Office Administrator is responsible for providing general administrative support to the West Palm Beach, FL office. The position required to be in office 5 days per week (Monday through Friday) between the hours of 8:30 a.m. to 5:00 p.m., with earlier or later start and end times respectively, based on special events such as board meetings or large company gatherings. Responsibilities: Manage front desk to include directing incoming calls to proper parties, greeting visitors, receiving mail & packages, helping to coordinate outgoing mail and large shipments, and any other office administrative tasks that are needed. Support the Owner & Chairman’s Executive Assistant with tasks that need to be completed to ensure he is able to operate as needed. Support in office meetings that occur to include but not be limited to ensuring technology is set up and working in designated meeting spaces and helping setup for breakfast or lunch to be delivered and then cleaned up after. Maintain inventory and office supplies, anticipate office needs and place orders when necessary. On an as needed basis, assist executives with schedules, including scheduling travel and conferences, making appointments, and making changes to appointments. On an as needed basis, manage expense reports, scanning, copying, sending mail, etc. for executives. Help train new staff on office equipment, policies and procedures, setup on new computers and logging the new employees in database. Provide clerical and general office support to employees in office. Qualifications 3 – 5 years of administrative support to a corporate office environment and/or supporting C-Suite level executives. Intermediate proficiency with MS Office products. Strong problem solving skills. Ability to multi-task and carry projects and tasks through completion. Customer service oriented. Excellent interpersonal and communication skills. Ability to work at a fast pace with a strong sense of urgency.
