The Role

We have an immediate opportunity for a dedicated individual to join us as an Office Administrator, reporting to the Office Manager. This is a permanent, full-time role. You will work in our Ottawa office five days a week.


Job Responsibilities

As an Office Administrator, you will be responsible for the smooth day-to-day functioning of the office, providing an effective and efficient level of service to iogen visitors and personnel, and to ensure their business needs and requirements are met in a welcoming and professional environment. Duties include:


  • Supports day-to-day office operations and provides a positive first impression by greeting visitors and maintaining the reception area
  • Administers the facility and visitor management platform, couriers, and mail
  • Administers the office contracts, including coffee service, photocopiers, shredding, offsite storage, and office supplies
  • Provides administrative support to the Technology and Innovation team, including scheduling team meetings, taking meeting notes, and tracking actions
  • Prepares monthly reports and supports administrative tasks for iogen’s Health, Safety and Environmental programs
  • Maintains the training database, including tracking expiry dates and booking training
  • Acts as the first point of contact for employee IT issues, escalating appropriately as required
  • Supports members of the management team with various administrative tasks including travel and preparation of expense reports, meeting management, and catering
  • Maintains cleanliness of reception, lunchroom, media room, and meeting rooms
  • Completes other administrative duties or special projects as may be assigned


Qualifications

  • 2 – 4 years of experience in an office environment
  • Strong organization skills with high attention to detail and ability to be flexible
  • Ability to remain positive and professional within a small team environment
  • Ability and interest in learning new skills and knowledge
  • Excellent communication and interpersonal skills
  • Knowledge of Microsoft Office Suite including Excel charts
  • Familiarity with Health, Safety and Environmental regulations is an asset
  • Strong IT skills is an asset
