OVERVIEW:

The LaBre Law Office is looking for a part-time office administrator to perform the basic, but essential, functions for keeping the office operational. This person will provide administrative support to the staff, oversee firm’s financial obligations, and prepare reports. Their responsibilities include managing databases, organizing meetings and events, and preparing letters, reports, and presentations.

EDUCATION AND EXPERIENCE:

We are looking for someone who has a Batchelor’s degree and related experience in the workforce with business administration.

Responsibilities
  • Making the Firm’s bank deposits each week ensuring that money is being deposited into the correct account.
  • Oversight of storing cash and checks paid to the office before deposits are made.
  • Recording client payments in the firm’s practice management software and receipt books.
  • Paying the Firm’s and client’s vendors.
  • Drafting the Firm’s weekly budget variance report and providing to the owner.
  • Oversight of the Firm’s three-way reconciliation of the trust account and review with the firm’s bookkeeper.
  • Conducting employee payroll and oversight of the firms 401k plan, child support payments, and health insurance group plan.
  • Tracking calls and marketing sources the calls come from weekly.
  • Online review list and follow up every 30 days.
  • Drafting the firm’s weekly sales report and providing to the owner.
  • Review PNC Tracker and make sure it is correct weekly.
  • Client satisfaction check-in calls every 30-days.
  • Oversight and implementation of invoicing clients, collections, file destruction, and return of trust money.
  • Monitor and maintain supply levels.
  • Signing the lawyers up for CLEs and scheduling airline tickets and hotel accommodations.
  • Answering phones and covering intake specialist position, as necessary.
  • Copying, mailing, and filing documents to the client, the firm, and the court covering for the mail clerk position, as necessary.
