Key Responsibilities Serve as the first point of contact for visitors, clients, and vendors; provide a professional and welcoming environment either in person, over the phone or through email correspondence. Manage daily office operations including mail, deliveries, phone calls, and general inquiries. Maintain office cleanliness and organization; oversee stocking and ordering of supplies for the kitchen, bathrooms, and general work areas. Oversee office equipment (printers, copiers, coffee machines, etc.), coordinating service or repairs as needed. Assist with planning and coordinating company lunches, events, and team activities to promote a positive workplace culture. Assist with onboarding logistics for new hires (workstation setup, welcome materials, introductions, etc.). Support internal communication initiatives and assist with company announcements or updates. Coordinate document submissions and deliveries to county offices. Manage multiple cross-department responsibilities, shifting priorities as needed to keep the organization running smoothly. Track and manage facility maintenance requests and coordinate with property management as needed. Any other tasks assigned by your manager or leadership team. Skills, Knowledge, Expertise Minimum 3+ years of experience in office administration, coordination, and/or operations support. Must have and maintain a valid driver’s license with a clean driving record and reliable transportation. Exceptional attention to detail and strong organizational skills. Excellent written and verbal communication skills. Proficiency in Microsoft 365, the Microsoft Office Suite, and a general comfort with office technology and systems. Demonstrated ability to manage multiple projects simultaneously and meet deadlines. Self-motivated, dependable, and able to take initiative without constant supervision. Ability to lift and/or move 50+ pounds. Ability to sit for extended periods of time in an office environment. Experience in professional civil engineering services or construction industries is preferred. Familiarity with Deltek Vantagepoint or similar project management systems is preferred.
