We are looking for a proactive and well-organized Office Administrator (m/f/d) who enjoys creating a welcoming office environment and supporting colleagues in their daily work. In this role, your main workplace will be our office in Erfurt. In addition, you will regularly support our offices in Leipzig and Ilmenau on site, approximately once per week at each location. This is a good opportunity for someone looking for a part-time role or a working student position who enjoys variety, takes ownership, and likes working with people. We are always looking for support in the following areas: Your Mission & Impact Your Role at a Glance Keep our offices running smoothly through day-to-day office management and administrative support. Manage office supplies, refreshments, and small office purchases. Prepare meeting rooms, coordinate catering, and welcome guests. Handle incoming mail, shared mailboxes, and general office communication. Coordinate office maintenance, repairs, and external service providers. Support business travel arrangements and related documentation. Help organize company events, internal meetings, and team activities. Support finance administration by processing invoices and receipts Coordinate purchasing activities, including obtaining quotes, placing orders, tracking deliveries, and checking invoices. Provide regular on-site support across our offices in Erfurt, Leipzig, and Ilmenau. Required skills and qualifications Preferred skills and qualifications Your profile You are well organized, reliable, and enjoy keeping things running smoothly in the background. You like working with people and create a friendly, welcoming atmosphere You take ownership of your tasks, work independently, and notice when something needs attention. You are comfortable handling administrative tasks, coordinating small purchases, and communicating with internal and external contacts. You have good communication skills in English and German (minimum B2). You are confident using common office tools such as Microsoft 365. You are willing to regularly work on site in our offices in Erfurt, Leipzig, and Ilmenau (travel costs are covered by the company). Previous experience in office management, administration, hospitality, event support, or a similar area is helpful, but not required. What You Bring to the Team Why us?
