Responsible for new office site selection, decoration, vendor management and etc. 1.2. Coordinates the purchase and inventory of office supplies 1.3. Oversees office maintenance and management of the office vendors to ensure smooth operation of the office 1.4. Handles incoming and outgoing mail and shipments 1.5. Coordinates the activities of local Office Management staff 1.6. Organizes office meetings and events 1.7. Assists with business travel arrangements including bookings, documentation, and expense processing 1.8. Supports the Country Manager in developing local travel policies and manages vendor relationships 2. Communication 2.1. Liaises with facility management vendors, service and insurance providers 2.2. Receives and routs incoming calls, visitors, couriers, and correspondence if needed 3. Administration 3.1. Provides administrative support to the Country Manager and other departments as instructed by the Country Manager 3.2. Supports signature flow for non-operational documents 3.3. Prepares, maintains and implements local workplace instructions and procedures 3.4. Provides support with onboarding and offboarding of new staff 4. Office Security, health and safety 4.1. Manages visitor access according to PSI policies 4.2. Supports the Country Manager in creation and implementation of workplace safety policies 4.3. Organizes and tracks PSI staff training in local workplace health, safety and office security Qualifications 1.Bachelor's or above degree 2. Administrator level is accepted with no administration working experience; Manager level needs five years or above of administrative experience 3.
