OVERVIEW

We are seeking a proactive and detail-oriented Office Administrator & Marketing Coordinator to join our healthcare team. This dual role is essential to ensuring smooth day-to-day office operations while also supporting the company’s marketing and community outreach initiatives. The ideal candidate will be highly organized, have strong communication skills, and bring creativity to promote our services and brand. An interest or background in sports is considered an asset.

REQUIREMENTS

  • Proven office administration experience, preferably in a healthcare or professional services setting
  • Strong communication and interpersonal skills
  • Excellent organizational skills with the ability to manage multiple tasks
  • Experience with payroll systems (Payworks), HCAI (Motor Vehicle Accident Claims), and Jane App considered an asset
  • Knowledge of digital marketing, social media management, and content creation (Canva experience an asset)
  • Creative mindset with an eye for branding and promotions
  • Ability to work collaboratively in a team-oriented environment
  • Interest or background in sports is an asset

Responsibilities

Office Administration

  • Manage front desk operations, including greeting patients and handling inquiries
  • Oversee clerical tasks such as filing, scheduling appointments, and maintaining patient records
  • Support bookkeeping duties, including invoices, vendor payments, and payroll processing (Payworks)
  • Manage cases related to motor vehicle accidents (MVA) using the HCAI program
  • Utilize the Jane App for patient scheduling and clinical documentation (knowledge an asset)
  • Handle multi-line phone systems with professionalism and effective phone etiquette
  • Ensure compliance with health regulations and maintain an organized office environment

Marketing & Outreach

  • Develop and implement basic marketing strategies to increase brand awareness
  • Manage social media accounts and create engaging content
  • Design promotional materials and digital content using Canva (experience an asset)
  • Assist with newsletters, email campaigns, and marketing materials
  • Coordinate and promote community outreach initiatives and events
  • Track marketing metrics and provide insights to improve campaigns
