MTM are seeking a proactive and organised Office Administrator to join our team and help ensure smooth operations across the business, reporting into the IT and Office Manager. This role involves greeting visitors, answering phone calls, and handling a range of administrative tasks. The ideal candidate will be the first point of contact for callers and visitors, providing a positive and welcoming experience, as well as supporting various business functions with administrative duties. This is a dynamic and varied role that requires excellent communication skills, strong attention to detail, and a proactive attitude.

SKILLS AND EXPERIENCE:

  • At least 3 years proven experience in a receptionist and/or administrative role, preferably in a fast-paced environment
  • Strong communication skills, both written and verbal
  • Excellent organisational skills with the ability to multitask and prioritise effectively
  • Professional phone manner and ability to handle enquiries with discretion and efficiency
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • A proactive attitude and the ability to work independently and as part of a team
  • Knowledge of engineering or technical industries is an advantage but not essential

Responsibilities
  • Answering and redirecting incoming phone calls to the appropriate departments or individuals
  • Welcoming and directing visitors to the office to correct meeting rooms
  • Ordering office supplies (for MTM offices and sites across Europe), including milk, stationary and other necessary sundries, ensuring the office is always well-stocked
  • Support the IT and Office Manager to facilitate and log the provision of laptops/mobile phones to new hires and their return from leavers
  • Handling general office correspondence, including emails, post, and parcels and distributing them as necessary (including post for sites)
  • Maintaining office organisation, including managing meeting bookings and tracking the movement of equipment in and out of the office
  • Providing administrative support to various departments within the business as required, assisting with filing, data entry, and document management
  • Assisting with ad hoc tasks and projects to support the smooth running of the business
