Job Title: Office Administrator (Temporary Position)
Working Hours: 9:00 am – 3:30 pm, Monday to Friday
(Saturdays on Rotation)
Location: The Bower, Killygordon, Co Donegal F93 DK54

OVERVIEW:

We are seeking a highly organised and detail-oriented Office Administrator to join our team on a temporary basis. This role will support the day-to-day running of the business, with a focus on vehicle compliance, haulage invoicing, and administrative duties. While assisting the Receptionist at times with calls and queries, the role is primarily focused on managing scheduled tasks, compliance records, and monthly reporting.

REQUIREMENTS:

  • Previous office administration or compliance experience preferred.
  • Strong organisational and record-keeping skills with attention to detail.
  • Proficient in Microsoft Office; Sage Accounts experience is an advantage.
  • Good communication skills and willingness to assist across different areas of the business

Responsibilities
  • Support the Receptionist when required with incoming phone calls, emails, and order bookings (concrete and precast).
  • Complete monthly haulage invoicing and Intrastat reporting.
  • Schedule and book vehicle MOTs and 12-week inspections.
  • Ensure all vehicles, trailers, and lorries are up to date with testing, MOTs, and insurance.
  • Manage onboarding and compliance records for any new vehicles.
  • Maintain accurate records of fleet servicing, inspections, and compliance schedules.
  • Provide administrative support to colleagues to ensure smooth running of daily business operations.
    · Monitoring aged debtors and producing regular credit control reports for management review
    · Monitoring daily cash sales and pursuing outstanding payments to maintain healthy cash flow
