POSITION OVERVIEW

We are looking for an enthusiastic and motivated Office Administrator to join our team. This role is ideal for someone who thrives in a fast-paced, hands-on environment and is keen to contribute to the smooth running of our operations. Responsibilities
  • Reception Duties: Answer phone calls, greet visitors, and manage general inquiries.
  • Client Orders: Accurately enter sales orders and process client requests.
  • Email Correspondence: Respond to emails in a professional and timely manner.
  • General Office Support: Assist with day-to-day office tasks to ensure smooth operations.
  • Basic Bookkeeping: Process bills, create invoices, and assist with account reconciliation.
  • Accounts Receivable, Payable & Purchase Orders: Manage and reconcile customer payments, follow up on overdue invoices, process supplier payments, and create and track purchase orders.
  • Data Entry: Update and maintain various systems and databases.
  • Stock Ordering: Monitor office and operational stock levels, ordering items as required to avoid shortages.
  • Service Schedules: Coordinate and manage service schedules for equipment, vehicles, and facilities, ensuring all are maintained in accordance with compliance requirements.
  • Bookings Management: Arrange and confirm bookings for service providers, contractors, meetings, and other business requirements.
  • Supplier Liaison: Communicate with suppliers to ensure timely delivery of goods and services.
  • Office Maintenance: Help maintain a clean, organised office environment that promotes productivity.
