Salary: Up to $39 per hour

We are seeking an experienced Office Administrator to join the parts business of a well established global organisation. This is a hands on administration role supporting the parts, sales, purchasing and warehouse teams.

You will be responsible for keeping orders, supplier communication, invoicing and general office administration running smoothly.

About the role:

Your day to day responsibilities will include:

  • Answering incoming phone calls and emails and directing enquiries to the appropriate team members
  • Supporting parts interpreters and sales staff with order administration
  • Following up suppliers regarding pricing, availability, order confirmations and ETAs
  • Assisting with supplier invoices and resolving discrepancies
  • Reconciling freight charges, supplier pricing and purchase orders
  • Preparing basic Excel reports covering sales, backorders, freight, purchasing and stock
  • Maintaining accurate electronic filing and document control
  • Supporting warehouse and parts teams with general administration
  • Liaising with customers, suppliers, freight providers and internal departments
  • Ordering office supplies and general consumables
  • Maintaining accurate records and following company processes
  • Providing general reception and office administration support

About you:

  • We are looking for someone who is organised, reliable and comfortable working across multiple priorities. You will ideally have:
  • Previous administration, customer service, purchasing or order processing experience
  • Experience working with suppliers and following up orders
  • Good Microsoft Office and Excel skills
  • Experience using an ERP, inventory or accounting system
  • Strong written and verbal communication skills
  • Excellent attention to detail
  • The ability to manage multiple orders and competing priorities
  • Confidence communicating with suppliers, freight companies and customers
  • A basic understanding of GST, invoices, purchase orders and credits
