JOB SUMMARY:

We have an immediate opening for an Office Administrator to perform various administrative and sales duties. The successful candidate is an outgoing, dynamic individual with exceptional hospitality, organizational, and time management skills.

REQUIREMENTS:

  • Minimum of 3 years direct work experience in an administrative capacity
  • A university degree or college diploma in Business/Office administration would be an asset
  • Demonstrated proficiency in MS Office (Excel/Word) or Google Workspace
  • High level of sound and independent judgment, reasoning, and discretion
  • Excellent communication skills (writing and editing skills, including proper spelling, grammar, and punctuation)
  • Highly detail-oriented and organized
  • Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • Professional, resourceful, and positive work attitude
  • Experience with Pipedrive CRM considered an asset
Responsibilities
  • Play an active role in daily operations by providing professional, friendly, and hospitable reception of all visitors to the office
  • Answer telephone calls related to sales inquiries as well as on behalf of OnePlan members
  • Troubleshoot office administration issues and inquiries, and coordinate assistance (IT support, building management, etc.) as required
  • Handle incoming and outgoing mail and courier packages
  • Ensure kitchen and common areas are kept tidy and stocked with supplies
  • Provide direct administrative and office management support to the General Manager, as directed by verbal or written instruction
  • Document responses and set up sales cycle tasks in our customer relationship management (CRM) system
  • Manage meeting room calendars, bookings, and hospitality logistics
  • Assist the accounting department with accounts payable and receivable
