Administration Support – Part-Time

Cairns Trauma & Clinical Psychology | Cairns North

Cairns Trauma & Clinical Psychology (CTCP) is looking for a warm, organised and reliable Administration Support Officer to join our friendly psychology practice.

This is an ideal opportunity for someone looking for part-time afternoon work, with the potential for the role to grow into a larger position in 2027.

The Role

We are seeking administration support initially across:

• Monday – Wednesday afternoons
• Part-time hours, with flexibility around the successful applicant
• Job-sharing arrangement with our existing administration team
• Potential for the role to expand to hours in 2027, depending on the needs of the practice and the successful applicant

The role will provide administrative support to our psychologists and clients and will suit someone who enjoys working in a professional, supportive and people-focused environment.

Key Responsibilities

Your duties will include:

• Answering phones and responding to client enquiries
• Booking and managing client appointments
• Managing cancellations and rescheduling
• Client administration and data entry
• Processing payments and invoices
• Managing referrals and correspondence
• Supporting psychologists and social workers with general administration
• Maintaining accurate and confidential client records
• General reception and office duties
• Liaising professionally with clients, GPs and other health professionals

About You

We are looking for someone who is:

• Friendly, approachable and professional
• Highly organised and reliable
• Comfortable working independently
• Excellent with attention to detail
• Confident using computers and learning new software
• Able to communicate sensitively with clients who may be experiencing mental health difficulties
• Able to maintain strict confidentiality and professional boundaries
• A team player who enjoys working in a small, supportive practice

Experience in medical, allied health or psychology administration would be highly regarded, although we are also open to applicants with strong administration and customer service experience.

Experience with Zanda, PowerDiary, Medicare, NDIS, DVA or private health billing would be advantageous but is not essential.
