OVERVIEW

We are seeking a highly organized and proactive Office Administrator to follow our office operations efficiently. The ideal candidate will possess strong communication and organizational skills, along with a solid background in administrative tasks in a Psychology/Counselling Private Practice. This role is essential for ensuring smooth day-to-day operations, supporting team members, and enhancing overall productivity.

REQUIREMENTS

  • Proven experience in office administrative roles with a focus on phone answering, booking and medical plan billing.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written, to interact with staff and external partners professionally.
  • Be quick and independent learner as you will be working independently
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail.
  • If you do not have experience please do not apply as we will not be providing extensive training and monitoring for this role.
    Job Types: Part-time, Casual
    Pay: $17.75-$20.00 per hour
    Expected hours: No less than 16 per week

Experience:

  • Medical Plan/Insurance billing: 1 year (required)
  • JaneApp Clinical Database: 1 year (required)
  • work with a private psychology/counselling practice: 1 year (preferred)

Responsibilities
  • Oversee daily office operations and ensure a productive work environment.
  • Manage schedules, including calendar management and appointment setting for team members.
  • Billing to Medical plans - it is essential you have experience with this
  • Using a clinical and booking data base Jane App, it is essential you have experience with JaneApp
  • Manage front desk responsibilities including greeting visitors and handling multi-line phone systems with professionalism.
  • Ensure compliance with office policies and procedures while maintaining a high level of confidentiality.
  • Understand and enact Canada’s Medical Privacy acts.
