JOB SUMMARY

We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will possess strong administrative skills and have a background in supervising staff and managing office operations. This role is crucial in ensuring the smooth functioning of our office, overseeing daily activities, and providing support to various departments.

SKILLS

  • Proficiency in QuickBooks for financial management tasks.
  • Strong proficiency in Microsoft Office Suite.
  • Strong computer skills.
  • Ability to work under pressure, to vary between tasks efficiently and meet deadlines.
  • Highly organized, strong attention to detail, self-starter and strong problem-solving skills.
  • Solid front desk experience with excellent phone etiquette.
  • Proven experience as an office administrator, assistant or relevant role.
  • Strong organizational skills to manage multiple tasks effectively.
  • Excellent communication skills, both verbal and written, to interact with staff and clients.
  • Familiarity with clerical duties and administrative processes in an office setting.
Responsibilities
  • Handle front desk operations, including greeting visitors and managing multi-line phone systems.
  • Prepare and submit a daily employee billing summary for approval
  • Summarize weekly invoicing
  • Record employee timecards
  • Place walk-in sales into the financial program (Quickbooks)
  • Maintain a filing system
  • Organize ICBC changes
  • Maintain and manage the reception desk by ensuring all incoming calls, emails, mail and packages are redirected to the appropriate representative
  • Book and take customer orders while communicating with Operations Manager/Controller of any changes
  • Communicating Safety poliie’s and procedures, update and communicate changes with safety representative
