Position Overview: We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will play a crucial role in ensuring the smooth operation of our office by handling administrative tasks, providing support to team members, and maintaining office efficiency. Additionally, the Office Administrator will be responsible for processing customer information, booking works to be carried out, and coordinating engineers’ works.

QUALIFICATIONS:

· Proven experience in an administrative role, preferably in an office setting.
· Excellent organizational and time management skills with the ability to prioritize tasks effectively.
· Strong attention to detail and accuracy in completing tasks.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
· Excellent communication skills, both written and verbal.
· Ability to work independently with minimal supervision as well as collaboratively in a team environment.
· Positive attitude, professional demeanour, and a willingness to learn and adapt.

Responsibilities

· Manage engineers bookings, supplies and inventory, including ordering, stocking, and organizing supplies as needed.
· Answer and direct phone calls in a professional and courteous manner.
· Welcome and assist visitors to the office, ensuring they feel welcome and attended too.
· Coordinate and schedule meetings, appointments, and events for team members.
· Handle incoming and outgoing mail, packages, and deliveries.
· Process all customer information, into e-management systems ensuring accuracy and confidentiality.
· Booking work to be carried out based on customer requests and schedule availability.
· Coordinate engineers’ works, ensuring timely completion, certification, and customer satisfaction.
· Maintain office cleanliness and organization, including common areas and conference room.
· Assist with special projects and tasks as assigned by management.
