Job Summary: We are seeking a highly organized and proactive Office Administrator to support the day-to-day operations of a small office (fewer than 10 employees). This individual will exercise sound judgment, discretion, and initiative while managing multiple priorities with exceptional attention to detail. The ideal candidate communicates clearly and accurately, values urgency when required, maintains strict confidentiality, and consistently follows through to ensure tasks are completed to a high standard. Duties/Responsibilities: * Oversee daily office operations, including coordination of office work orders and office construction projects. * Maintain office operations and procedures such as office security, information management, conference room scheduling, filing systems, requisition of supplies, and other clerical services such as phone and front desk coverage, calendar management. * Draft, edit and proofread correspondence, reports, contracts, and other office related documents. * Support accounts payable in coordinating the invoice approval process by coding and routing invoices for payment.    * Assist engineering, construction and procurement teams with processes and related documentation needs.   * Establish, maintain, process, and update project files, records, certificates, and related documentation; ensure filing systems remain current. * Coordinate travel arrangements for staff and guests, assist with expense reimbursements and reconciliations. * Assist office staff with time reporting by maintaining employee PTO calendars and other records. * Operate and maintain office and AV equipment and a variety of office equipment (copiers/printers/postage machine) ensuring daily readiness. * Manage incoming and outgoing mail and package deliveries (USPS, FedEx, UPS, etc.). * Arrange conference calls, answer incoming calls and accurately record messages. * Negotiate vendor contracts, manage vendor relationships, and maintain up to date vendor/contractor contact list.  * Coordinate meetings and logistics for office staff and external partners as needed. Required Education/Skills/Knowledge: * High school diploma or GED required; college degree preferred.  * 3–5 years of experience in an administrative or office management role with similar responsibilities.  * Strong written and verbal communication skills with the ability to interact effectively with managers, clients, vendors, and the general public.  * High level of professionalism, discretion, and confidentiality. * Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).  * Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously. Physical Requirements/Working Conditions: * Must be able to sit/stand at a desk, using a computer workstation.  * The employee is occasionally required to climb, balance, stoop, kneel, crouch, reach with hands and arms, walk; lift push or pull objects up to 20 pounds.  * Must be able to handle long periods of screen time and typing.  * Must be able to have effective time management skills, with the ability to concentrate for long periods of time.
