RS Refrigeration Services are an ISO 9001 accredited company based in Hook; Hampshire that has been established for over 40 years. Specialising in the design and installation of high-quality commercial refrigeration and air conditioning solutions and servicing. We have built our reputation on maintaining the highest standards of customer service.
We are seeking a highly organised and proactive Administrative Support professional to join our team. The successful candidate will play a key role in supporting day-to-day operations, scheduling, customer service and general office administration to ensure smooth and efficient running of the office.

Key Responsibilities

  • Handle incoming calls and emails, providing professional and timely customer service.
  • Schedule jobs and co-ordinate appointments for engineers.
  • Maintain job records and update scheduling software (Simpro).
  • Assist with data entry, purchase orders and quotations.
  • Liaise with suppliers for ordering parts and materials.
  • Support engineers with compliance documentation and job reporting.
  • Maintain accurate filing systems—both physical and digital.
  • Assist with preparation of reports.
  • Provide general administrative support to management and engineers.
  • Process eBay sales and enquiries.

Skills & Qualifications

  • Proven experience in an administrative or office support role (preferably in a trades or service-based industry).
  • Strong organisational skills and attention to detail, excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Experience with industry-specific software is an advantage (eg Simpro).
  • Ability to multitask and prioritise in a fast-paced environment.
  • Team player with a positive, can-do attitude.
  • Knowledge of the refrigeration and air conditioning industry is a plus.

Ideal Candidate
Prior office administration experience required; Experience working in Simpro or similar job management software preferred (training will be provided); Ability to work without supervision; Excellent time management skills; Exceptional communication and customer service skills; Technical skills, including proficiency with Microsoft Office programs; Strong prioritisation and organisation skills; Ability to handle confidential information; Strong record keeping skills; Ability to multitask.
