POSITION OVERVIEW General office reception Log and prioritise maintenance requests received from clients on the ticket system. Schedule and coordinate maintenance appointments with clients, suppliers, and contractors. Communicate proactively with clients regarding project status and concerns. Request quotations from suppliers and contractors. Reception function – switchboard, front desk Provide general support to the FM team. Office Operations Ensure smooth daily office operations and issue resolution Vendor and contractor management (cleaning, supplies, etc.) Administration & Support Timely document management, filing, and archiving Internal meeting and event support Process ad-hoc invoices and track payment progress on tracking sheet Order stationary for office and maintain stock sheet Track usage of office consumables for FM to replenish Communication Response time to internal emails/requests Internal communication clarity and updates Attendance & Punctuality Timely attendance and reliability Any other reasonable instructions within the scope of works.
