Summary The Receptionist/Administrative Assistant will perform a variety of general clerical tasks and administrative support to ensure the efficient operation of the office.     Areas of responsibilities may include but are not limited to: * Greet visitors and point them in the right direction, answer inquiries, and create a welcoming environment. * Organize and schedule meetings and appointments for the leadership team  * Prepare expense reports for leadership team * Book travel arrangements as requested for leadership team * Organize quarterly and annual leadership conferences * Retrieve, receive, collate, and distribute mail * Prepare certified mail slips and take outgoing mail to box or post office, as relevant * Manage corporate FedEx incoming/outgoing packages * Prepare, manage, and edit communications as requested, such as memos, emails, invoices, reports, and other correspondence * Create and maintain filing systems, both electronic and physical, in a confidential manner * Liaise with the property management office and forward emails to relevant employees * Order and manage office and kitchen supplies * Organize corporate entertainment including meals, birthdays, and outings * Notarize official documents   Education, Skills, Experience, and Knowledge * High school diploma or general education degree (GED); or two to three years of related experience and/or training; or equivalent combination of education and experience. * Strong verbal and written communication skills * Notary certification or ability to attend and pass the notary classes and exam * Proven administrative or assistant experience * Knowledge of Microsoft Office Products, office management systems and procedures * Excellent time management skills and ability to multi-task and prioritize work * Attention to detail and problem-solving skills   Work Environment Office environment   Physical demands may include but are not limited to: Moderate walking, standing, and/or climbing; light lifting and carrying, stooping, bending, kneeling, and reaching. Must be able to lift a minimum of 30 lbs.    Travel None   Exemption Status Non-exempt
