Responsibilities

Administrative Support:

  • Manage office correspondence, including emails and phone calls.
  • Schedule and coordinate meetings.
  • Prepare and distribute meeting agendas, minutes, and reports.

Documentation and Record-Keeping:

  • Maintain organized filing systems for company documents.
  • Ensure accurate data entry and update records as required.
  • Prepare presentations, reports, and other documents.

Office Management:

  • Monitor office supplies and place orders when necessary.
  • Coordinate with vendors and service providers to ensure timely delivery of office needs.
  • Assist with onboarding new employees by preparing workstations and ensuring access to tools.

Coordination and Communication:

  • Act as a liaison between employees to facilitate smooth communication and workflow.
  • Respond to inquiries and provide information as needed.
  • Assist in resolving administrative issues and addressing concerns promptly.

Policy Compliance:

  • Adhere to company policies and procedures to ensure compliance with UCS standards.
  • Maintain confidentiality of sensitive information.

Other Duties:

  • Provide support for special projects or initiatives as assigned by management.
  • Handle ad-hoc administrative tasks to support team efficiency.
