Responsibilities
  • Oversee daily office operations, including supplies, maintenance, and facilities coordination.
  • Prepare, process, and track purchase orders to ensure timely procurement and delivery of goods and services.
  • Raise and process invoices, maintaining accurate financial records.
  • Liaise with suppliers and vendors, obtaining quotations and negotiating pricing where required.
  • Maintain accurate records of purchases, expenses, invoices, and office assets.
  • Take minutes at meetings, prepare summaries, and distribute to relevant stakeholders.
  • Arrange and coordinate meetings, including scheduling, room bookings, and technology setup.
  • Order and organize lunches, refreshments, and catering for meetings and office events.
  • Support internal teams with administrative tasks, scheduling, and documentation.
  • Ensure compliance with company policies and procedures in procurement, invoicing, and office management.
  • Assist in budget monitoring and expense reporting of operations.
  • Handle correspondence, filing systems, and office communication channels.
  • Support Westminster’s 12 depots in arranging wellbeing lunches and events.
