POSITION EXPERIENCE & REQUIREMENTS

  • Bachelor’s degree
  • Proven experience in office and admin support
  • Proficiency in Microsoft Word, Excel, Outlook, SharePoint, and other Microsoft Applications
  • Strong English communication and collaboration skills (verbal and writing)
  • Willingness to learn new tasks to support Accounts and HR
  • Candidates available to join immediately is preferred.

Responsibilities
  • Support and coordinate meeting room bookings (for managers, employees, clients, applicants)
  • Provide general support to visitors
  • Admin support in processing visas and medical insurance (new, renewals, cancellations)
  • Ensure HR system and trackers are updated
  • Ensure all Accounts expenses sheets are updated
  • Encode and upload complete invoices for all company expenses
  • Prepare contracts, letters, and forms
  • Support in recruitment
  • Support in employees onboarding and off-boarding
  • Ensure complete documents of employees are filed and uploaded
  • Manage office and café supplies (ordering right quantity before running out of stocks)
  • Monitor company assets (Computers, phones, and other IT equipment)
    o Record Serial Numbers of equipment assigned to employees
    o Communicate with managers what are needed before purchasing

o Coordinate with suppliers if equipment maintenance is needed

  • Manage office maintenance (coordinate cleaners, Tower maintenance, and 3rd party contractors)
  • Handle accommodations of employees and clients (hotel bookings, apartment tenancy contracts, utility bills and payments, cleaner bookings)
  • Support in booking flight tickets for employees
  • Ensure employee attendance logs are submitted monthly
